About This Role:

You are the architect of the client experience—from first contact on the phone or by email to the smiling face they trust each time they walk in. This role blends front-line client care, back-end front desk operations, and internal communication to ensure our clients feel supported and our therapists can focus on healing.

Your role will also include behind-the-scenes responsibilities similar to those found in office coordination roles—supporting the operations manager, financial processes, and team efficiency.

Key Responsibilities (Not Comprehensive):

  • Client Care & Communication
    Serve as a consistent, professional point of contact for clients. Guide them through their journey—from first contact to final discharge—with clear, compassionate communication.
     
  • Scheduling & Engagement Support
    Monitor client progress, manage appointment logistics, and follow up on cancellations, no-shows, and transitions.
     
  • Financial & Billing Support
    Process payment plans, third-party payments (like clergy pay), and billing questions. Assist with monthly invoicing and maintain accurate financial records.
     
  • Caseload & Clinical Coordination
    Audit therapist caseloads, support documentation compliance, and communicate regularly with therapists about client needs and care phases.
     
  • Office Operations & Team Support
    Collaborate with the operations manager to ensure smooth clinic flow. Order supplies, maintain a tidy environment, and implement internal decisions effectively.
     
  • Growth & Culture Contribution
    Participate in ongoing training, offer feedback, and contribute to a culture of empathy, integrity, and continuous improvement.
